Location: Dubai Industrial City, Dubai, UAE
We are an established industrial company operating a manufacturing facility and multiple sales branches across the UAE. We are looking for a reliable, proactive, and trustworthy Executive Assistant to the CEO who can act as the CEO’s right hand and help manage daily business operations, administrative activities, and follow-up tasks across the organization.
Key Responsibilities
* Support the CEO in managing and monitoring day-to-day business operations.
* Follow up on tasks assigned to employees and department managers and ensure timely completion.
* Monitor company emails and identify matters that require management attention and follow-up.
* Review daily and weekly reports submitted by employees and provide summaries to the CEO.
* Coordinate communication between the factory, sales branches, and management team.
* Follow up with sales staff regarding customer inquiries, quotations, orders, collections, and pending tasks.
* Monitor employee attendance, leave requests, vacations, and general HR administration.
* Assist in maintaining employee records and ensuring compliance with company policies and UAE labor regulations.
* Track company vehicles, including fuel consumption, maintenance schedules, registrations, insurance renewals, and traffic fines.
* Follow up with drivers and responsible staff regarding vehicle-related issues and documentation.
* Maintain organized records of company licenses, permits, contracts, and administrative documents.
* Prepare operational reports, spreadsheets, and management summaries as requested.
* Coordinate with suppliers, service providers, and government authorities when required.
* Ensure that important deadlines, renewals, and operational tasks are completed on time.
* Identify operational issues and escalate important matters to the CEO with recommended solutions.
* Handle confidential company information with professionalism and discretion.
* Perform general administrative and operational duties assigned by the CEO.
Requirements
* Bachelor’s degree or equivalent.
* Minimum 3 years of relevant work experience, preferably in the UAE.
* Strong command of English (written and spoken).
* Knowledge of Urdu is an advantage.
* Good understanding of UAE Labor Law and general business practices in the UAE.
* Proficiency in Microsoft Office (Excel, Word, Outlook).
* Strong organizational and follow-up skills.
* Ability to work independently and take ownership of assigned responsibilities.
* Excellent communication and interpersonal skills.
* High level of integrity, reliability, and confidentiality.
