Job Details
We are looking for a reliable, organized, and positive person to join our team and support the daily operations of our private personal training gym.
This role combines front desk customer service, personal assistant duties, scheduling support, client care, light hospitality, stock management, basic social media support, and general gym operations. The ideal candidate is friendly, attentive, responsible, and comfortable communicating with clients in English.
Key Responsibilities
Personal Assistant & Scheduling Support
• Monitor and manage the gym schedule, including sessions for all team members.
• Book appointments for assessments, consultations, and training sessions.
• Reschedule client sessions when needed.
• Reply to client phone calls and messages in a professional and timely manner.
• Support daily administrative tasks for the gym and management.
Client Communication & Social Media Support
• Reply to client messages through WhatsApp, Instagram, and other communication channels.
• Answer general inquiries about appointments, services, packages, and gym information.
• Forward important client questions or special requests to the right team member.
• Post or schedule ready-to-publish content on social media when needed.
• Make sure all content is posted in accordance with the instructions provided by the management team.
• Monitor basic social media messages and comments, and notify the team when a response is needed.
Front Desk & Client Support
• Welcome clients warmly upon arrival at the gym.
• Create a friendly, positive, and professional atmosphere.
• Offer clients coffee, towels, water, and general support before or after their sessions.
• Prepare protein shakes for clients after their workouts.
• Assist clients with questions about their sessions, packages, payments, and renewals.
• Take payments for training packages, protein shakes, supplements, and other gym services.
• Support package renewals and keep client records up to date.
Session Tracking & Client Records
• Maintain client session tracking system.
• After each session, record the date and program name.
• Ensure clients sign after completing each session.
• Keep records organized and accurate.
Stock & Supplies Management
• Monitor stock levels for gym, kitchen, bathroom, and shower essentials.
• Track items such as toilet paper, paper towels, towels, coffee supplies, protein shake ingredients, supplements, cleaning essentials, cat food, and other necessities.
• Place orders for supplies when needed for both the gym and house.
Gym Cat & Outdoor Cat Care
• Take care of a gym cat, provide food and water.
• Move the gym’s cat bed and litter box from the shower room, where she stays overnight, back to the gym during the day.
• Feed and provide water for the stray cats outside the gym. We currently feed around 10 cats.
Requirements
• Good spoken and written English.
• Friendly, warm, and professional communication.
• Strong organizational skills.
• Ability to manage schedules and client requests carefully.
• Responsible, reliable, and detail-oriented.
• Comfortable replying to messages professionally.
• Comfortable posting ready-made content on social media.
• Comfortable working around cats.
• Positive attitude and willingness to help with different daily tasks.
• Previous experience in customer service, front desk, personal assistant, social media support, or hospitality is a plus.
Ideal Candidate
The ideal person for this role is someone who enjoys helping people, notices small details, and can keep the gym environment organized, welcoming, and smooth throughout the day. This person should be proactive, kind, trustworthy, and able to create a positive first impression for every client who walks into the gym.
They do not need to create social media content from scratch, but they should be able to follow instructions, post approved content, and communicate professionally online.
