An administrative position managing the day-to-day operations of the group's family office in Dubai, covering a UAE property portfolio, family investments, accounts and tax compliance, and selected personal matters for the principals.
This role requires someone who can work confidently and independently, embrace new ways of working, and use technology and AI effectively to improve productivity and accuracy.
The successful candidate will be organised, numerate, digitally confident and highly discreet. They will be trusted to manage deadlines independently, anticipate requirements, and ensure that financial, property and personal matters are handled accurately and confidentially.
Core Responsibilities
Property Management
• Manage lease renewals, including rent benchmarking against the RERA rental index and current market rates
• Collect rent, deposit cheques and follow up promptly on outstanding or returned payments
• Issue tenant invoices in line with VAT requirements
• Process service charge and utility payments within their due dates
• Act as the regular point of contact for building management, property managers and agents
• Prepare rental income reports for the principals
Investments, Accounts & Tax
• Maintain the family's accounts in Tally and reconcile them with bank statements
• Prepare regular investment statements and keep market values up to date
• Manage quarterly UAE VAT filings and payments
• Coordinate annual Indian income tax (ITR) documentation with the family's chartered accountant
• Prepare the annual UAE corporate tax filing
Executive & Personal Support
• Manage email correspondence for the principals and ensure timely follow-up on actions and commitments
• Track and file household expenses accurately
• Coordinate travel documents and visa applications
• Manage trade licence, vehicle and staff visa renewals
• Maintain a calendar of all payment and compliance deadlines, anticipating requirements before they fall due
• Exercise sound judgement in deciding what needs the principals' attention and what can be resolved independently
• Handle sensitive financial and personal information with a high degree of discretion and accuracy
Requirements
• 3+ years of proven experience in an accounting role or an administrative support position
• Bachelor of Commerce (B.Com) graduate
• Working knowledge of UAE VAT, corporate tax and RERA rental regulations
• Proficiency in Tally and advanced proficiency in Excel and/or Google Workspace
• AI-confident and digitally savvy, with a strong willingness to use AI tools such as Claude in day-to-day work
• Excellent organisational skills, attention to detail and follow-through, including well-structured digital records
• Strong judgement and the ability to work independently; proactive, adaptable and calm under pressure
• Experience with Indian tax documentation is a strong advantage
• Excellent written and spoken English; Hindi or Arabic is an advantage
• Based in Dubai and eligible to work in the UAE; a UAE driving licence is preferred
• Highly trustworthy and discreet, with the ability to work closely and professionally with the principals
