Key Responsibilities Manage and maintain the management's daily calendar, appointments, meetings, and schedules. Coordinate and schedule internal and external meetings, including communicating with attendees and preparing meeting arrangements. Handle incoming and outgoing telephone calls professionally and efficiently. Manage emails, correspondence, documents, and routine administrative communication. Coordinate UAE visa, residency, Emirates ID, and related government procedures, including liaising with relevant authorities, PROs, and service providers. Arrange domestic and international business travel, including flights, hotels, transportation, visas, and itineraries. Coordinate with vendors, suppliers, contractors, and service providers as required. Follow up with vendors and internal teams to ensure timely completion of tasks and services. Maintain organized records, files, documents, and confidential information. Assist management with day-to-day administrative and personal office requirements. Prepare basic reports, correspondence, presentations, and other documents when required. Handle confidential information with discretion and professionalism. Perform other administrative and coordination duties assigned by management.
Required Qualifications & Skills Fluent in English, both written and spoken. Previous experience as a Personal Secretary, Executive Assistant, Office Assistant, Administrative Assistant, or similar role. Good knowledge of UAE visa, residency, Emirates ID, and government-related procedures. Strong organizational and time-management skills. Excellent telephone and interpersonal communication skills. Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. Ability to manage multiple tasks and priorities effectively. Professional appearance, attitude, and communication style. Strong follow-up and coordination skills. Ability to maintain confidentiality and handle sensitive information. UAE work experience is preferred.
