Job Purpose
The Sales Coordinator is responsible for managing the end-to-end sales order process from order receipt to shipment. This includes coordination with the Sales Manager, production team, warehouse, and logistics to ensure smooth execution of customer orders and timely export documentation.

Key Responsibilities
1) Order Management
• Receive and record sales orders from customers or sales team.
• Verify order details including quantity, pricing, and product specifications.
• Discuss and confirm orders with the Sales Manager before processing.
2) Stock Verification
• Check stock availability with the warehouse/store team.
• Coordinate product availability for confirmed orders.
• Inform Sales Manager and production team in case of shortages.
3) Proforma Invoice Preparation
• Prepare accurate Proforma Invoices (PI) based on confirmed orders.
• Ensure all pricing, terms, and customer details are correct.
• Send Proforma Invoice to customers for approval.
4) Production Coordination
• After customer confirmation, forward approved Proforma Invoice to production.
• Follow up with production team to ensure timely manufacturing.
• Monitor order status until completion.
5) Logistics Coordination
• Coordinate with logistics/freight forwarders for shipment arrangements.
• Ensure booking, scheduling, and dispatch are completed on time.
• Track shipments and update relevant stakeholders.
6) Export Documentation
• Prepare all required export documents such as:
o Certificate of Origin
o Commercial Invoice
o Packing List
o Delivery Notes / Shipment documents
• Ensure documents comply with export and customs requirements.
• Coordinate with logistics team for final shipping documentation.
7) System Updates & Reporting
• Update all sales and order information in the ERP/system.
• Maintain accurate records of orders, invoices, and shipments.
• Provide regular status updates to the Sales Manager.

Requirements / Qualifications
• Bachelor’s degree in Business Administration, Commerce, Accounts or related field.
• 1–3 years of experience in sales coordination, export, or logistics.
• Knowledge of export documentation and order processing.
• Experience with ERP systems is an advantage.
