Role Purpose
The Sales Coordinator supports the MRO sales team and its industrial customers. The role handles the whole process from enquiry to payment: quotations, order processing, delivery coordination, invoicing and collections. The incumbent is the link between customers, suppliers, the warehouse, logistics, purchasing and finance.
Key Responsibilities
1. Quotations and Tenders (largest part of the role, done daily)
• Prepare and send sales quotations for RFQs from end customers and traders
• Quote through customer portals such as Emirates Steel and Drydocks World.
• Revise quotations to match target prices, alternative brands or specifications, and changes in stock.
• Follow up with customers on quotations and negotiate pricing on larger orders.
• Prepare contract quotations for seals and bearings.
2. Order Processing
• Review customer POs and raise Proforma Invoices (PI) for stock and arriving items.
• Raise documents and local purchase orders to suppliers.
• Update customers on balance items, delivery status and pickups.
• Monitor credit reasons and coordinate with sales and finance.
3. Delivery and Logistics Coordination
• Arrange pickups, gate passes and deliveries with the warehouse and logistics team.
• Resolve wrong-quantity deliveries, damaged goods and urgent customer collections.
• Request GRNs, COCs and MSDS documents from the warehouse or suppliers.
4. Master Data and Customer Setup
• Request item creation from purchasing/supply chain for new products and brands.
• Collect and submit trading documents for new customers (trade licence, VAT certificate, bank details) and request account creation.
• Update customer and vendor data on portals, such as Al Ghurair Foods and bank detail changes.
5. Invoicing, Credit Notes and Collections
• Submit invoices and delivery notes on customer portals (Emirates Steel, Al Ain Cement, Al Ghurair Foods, Arabian Gulf Steel).
• Process sales returns and credit notes, and send updated Statements of Account (SOA).
• Follow up on payments, issue receipt vouchers for collected cheques, and escalate overdue accounts.
6. Bearing Bank and Key Accounts
• Maintain and organise the bearing bank (customer stock programme) for accounts
• Keep the bearing bank sheets accurate and easy for the team to use.
7. Reporting and Team Coordination
• Attend the weekly MRO meeting and prepare reports on quotations (SQ) and sales value.
• Review MRO reports on PB, target and YTD stock.
• Maintain the incoming battery list for the sales team.
• Attend customer portal and vendor training.
Requirements
• Bachelor's degree in business, commerce or engineering, or equivalent experience.
• 2–4 years in sales coordination or sales support, preferably in industrial, MRO, bearings or spare parts.
• Good working knowledge of an ERP system (PIs, quotations, credit notes, item and customer creation) and advanced Excel.
• Good written English for customer emails and quotations.
• Familiarity with UAE trade documents such as VAT, trade licences and gate pass procedures.
• Knowledge of bearing brands and cross-references is an advantage.
