Position Overview
We are seeking a highly organized, proactive, and commercially minded Business Centre Manager to oversee the daily operations, tenant relations, and financial tracking of our business centre. This role is a hybrid of sales, property operations, compliance, and administration. You will be responsible for maximizing occupancy, ensuring seamless day-to-day facilities management, and maintaining impeccable financial and compliance records.
As the face of the business centre, the ideal candidate must be a sharp professional capable of delivering excellent customer service to high-profile clients while managing rigorous back-end administrative tasks.
Language Requirement: Absolute fluency in both English and Russian (Written & Verbal) is mandatory.
Key Responsibilities
Occupancy & Revenue Management
• Leasing & Sales: Actively market and rent individual office units based on the pricing strategy and targets set by management.
• Occupancy Optimization: Drive tenant retention and acquisition strategies to consistently maintain maximum occupancy levels within the business centre.
• Rental Tracking: Manage the collection of all rental cheques, keep detailed logs of payment schedules, and ensure timely banking and processing.
Facilities & Maintenance Operations
• Asset Maintenance: Supervise and coordinate all building/office maintenance issues, liaising with technicians or third-party contractors for swift resolution.
• Upkeep & Cleanliness: Conduct daily inspections to ensure that all offices, common areas, meeting rooms, and reception spaces are kept exceptionally clean, tidy, and premium in appearance.
• Inventory Control: Monitor, manage, and replenish office and pantry supplies to ensure the centre is fully stocked at all times.
Financial Tracking & Administration
• Unit-Wise Expense Tracking: Maintain meticulous, unit-wise tracking of all expenses related to the business centre to ensure accurate cost allocation and profitability analysis.
• Day-to-Day Accounting: Handle localized bookkeeping tasks, including strict monitoring, tracking, and reconciliation of the centre’s petty cash.
Compliance & Contract Management
• Tenant KYC: Collect, verify, and maintain up-to-date Know Your Customer (KYC) documentation for all tenants in compliance with corporate and local regulations.
• Contract Oversight: Ensure all tenant lease contracts, renewals, and terminations are accurately documented and up to date.
• Contractor Compliance: Manage third-party vendor contracts and maintain updated contractor KYC files, including valid Trade Licenses (TL), VAT registration certificates, and legal permits.
Qualifications & Skills
Experience & Education
• Bachelor’s degree in Business Administration, Finance, or a related field.
• Minimum 5 years of UAE experience running a business centre, co-working space, serviced offices, or managing commercial property operations.
• Proven track record in property leasing, tenant relations, and basic financial tracking.
Language & Technical Skills
• Bilingual Fluency: Native or professional proficiency in both English and Russian is strictly required to effectively serve our diverse client base and stakeholders.
• Strong numerical proficiency with experience managing petty cash, expense logs, and rental cheque tracking.
• Proficiency in Property Management Software (PMS), CRM tools, and MS Excel.
