Position Overview
We are seeking a professional, multilingual, and service-oriented Clinic Receptionist / Patient Coordinator to join Western health clinic in Dubai.
The ideal candidate will be the first point of contact for patients, ensuring a high-quality, discreet, and welcoming experience, while efficiently managing appointments, communications, and administrative tasks.
Key Responsibilities
Reception & Patient Experience
• Welcome patients and visitors in a professional and courteous manner
• Ensure a calm, respectful, and confidential environment at all times
• Handle VIP and international patients with a high level of service
Appointment & Scheduling Management
• Schedule, confirm, and reschedule appointments
• Coordinate calendars for therapists, psychiatrists, and consultation rooms
• Optimize appointment flow and minimize waiting times
• Send reminders via phone, SMS, or WhatsApp
Communication & Coordination
• Answer incoming calls and respond to inquiries (phone, email, WhatsApp)
• Provide accurate information about services, availability, and fees
• Liaise with clinical staff to ensure smooth patient flow
Patient Registration & Records
• Register new patients (Emirates ID / passport details)
• Maintain and update electronic patient records
• Ensure strict confidentiality and compliance with DHA and PDPL regulations
Billing & Insurance
• Process payments (cash, card, online) and issue receipts
• Explain fees and billing procedures clearly
• Verify insurance coverage and assist with pre-approvals when required
• Coordinate with insurance providers when necessary
Administrative & Operational Support
• Maintain daily logs (appointments, cancellations, no-shows)
• Support clinic operations and reporting
• Ensure reception area is clean, organized, and professional
• Coordinate with maintenance, cleaning, and suppliers when needed
Requirements
• Minimum 3 years experience in a clinic, hospital, or hospitality environment in Dubai
• Excellent communication and interpersonal skills
• Strong organizational and multitasking abilities
• High level of professionalism and discretion
• Ability to work under pressure in a fast-paced environment
• Customer-service oriented mindset
Languages • English (fluent) • Arabic (Fluent) • French (strong advantage)
Technical Skills
• Familiarity with clinic management systems (preferred)
• Basic knowledge of insurance processes in the UAE
• Proficiency in Microsoft Office (Word, Excel, Outlook)
