Job Details

We are seeking a proactive and detail-oriented Production Coordinator to manage and streamline daily operations between our retail outlets and the central production kitchen. The role involves overseeing inventory, coordinating order fulfillment, and maintaining accurate records of purchasing and stock movement. The ideal candidate will serve as the operational bridge between the cake shops and the central kitchen to ensure smooth, timely, cost-effective production and supply chain management.

Key Responsibilities:

Daily Order Coordination
1. Collect daily bakery, ingredients, and dry item orders from all retail outlets.
2. Communicate order requirements to the central kitchen for timely production and dispatch.
3. Coordinate with delivery teams to ensure on-time delivery to outlets.
4. Monitor stock movement and consumption trends to avoid overstocking or shortages.
5.. Conduct regular stock checks and reconciliations.
Prepare and dispatch daily purchase orders LPO.
6.. Follow up with vendors to ensure timely delivery of raw materials and packaging.
7.. Evaluate supplier performance and make sure that the price is received correctly in the Invoices.

Data Entry & Reporting:
1. Enter all purchase orders, delivery notes, and supplier invoices into the accounting/inventory system accurately and in a timely manner.
2. Generate regular inventory and purchase reports for management review.

Operational Liaison:
1. Act as the communication link between retail outlets and the central kitchen.
2. Address and resolve any delays or discrepancies in production or order fulfillment.
3. Work closely with outlet managers to forecast demand and align production schedules.
4. Regularly inspect our facilities and equipment for any signs of damage or wear and tear.
5. Report any issues identified to the maintenance team promptly and accurately.
6. Follow up with the maintenance team to ensure reported issues are addressed.

Key Requirements:

1. Proven experience in a similar production coordination or inventory management role, preferably in F&B or bakery operations.
2. Strong organizational and time management skills.
Proficiency in inventory management Microsoft Excel and computer systems
3. Excellent communication and coordination skills.
Ability to work under pressure and handle multiple priorities.
4. Attention to detail and strong analytical skills.

Preferred Qualifications:
1. Diploma or Bachelor’s degree in Supply Chain Management, Hospitality, Business Administration, or related field.
2. Previous experience in a central kitchen or multi-outlet bakery setup.
