Job Summary:
We are seeking a detail-oriented and organized Sales & Operations Administrator to manage customer purchase orders, production coordination, order tracking, and administrative documentation. The ideal candidate will ensure smooth communication between clients, sales, production, and management teams while maintaining accurate records and meeting delivery commitments.
Key Responsibilities:
• Review and process customer Purchase Orders (POs) received from the Sales Department.
• Verify pricing, order details, and identify whether orders are Made-to-Measure (MTM) or Standard Size (STD).
• Create Sales Orders in the ERP/software system accurately and promptly.
• Ensure all PO details are complete, including employee lists, garment specifications, colors, patterns, logos, designs, and special requirements.
• Follow up with clients to obtain any missing information required for production.
• Record "ETBC" (Employees To Be Confirmed) when employee details are pending.
• Record "STBC" (Size Details To Be Confirmed) when size information is pending for standard-size orders.
• Conduct systematic follow-ups with clients regarding pending information and maintain proper communication records.
• Prepare and issue Production Sheets once all order details are confirmed.
• Print and maintain MTM measurement lists, ensuring proper documentation and distribution to relevant departments.
• Coordinate with production teams to monitor order progress and ensure timely completion.
• Track customer promise dates and delivery schedules to ensure commitments are met.
• Maintain order tracking records and provide regular updates to management.
• Ensure all delivery documents and manually issued Delivery Orders (DOs) are properly signed, filed, and archived.
• Coordinate with management for approvals on verbal orders or deliveries without official Purchase Orders.
• Maintain organized filing systems for POs, production sheets, measurement records, delivery documents, and client correspondence.
Requirements:
• Minimum 2 years of administrative, operations, customer service, or order processing experience.
• Strong organizational and documentation skills.
• Excellent communication and follow-up abilities.
• Proficiency in Microsoft Excel, Word, Outlook, and ERP systems.
• Ability to manage multiple orders and deadlines simultaneously.
• Strong attention to detail and accuracy.
• Experience in garment manufacturing, uniforms, tailoring, or production environments is an advantage.
