Challenger Y63 Garage LLC is looking for a strong and responsible Admin Supervisor to manage the daily administrative and operational activities of the garage. The candidate must be highly organized, punctual, detail-oriented, and capable of handling shop operations, reporting, staff monitoring, municipality requirements, and vendor coordination professionally.
Key Responsibilities
* Ensure punctuality, discipline, and smooth daily operation of the workshop and office
* Supervise daily shop activities and maintain proper workflow inside the garage
* Ensure the workshop, office, customer areas, and storage areas are always clean, organized, and properly maintained
* Handle municipality requirements, inspections, approvals, permits, and compliance matters
* Coordinate professionally with inspectors and government authorities when required
* Prepare and submit daily operational and financial reports to management (5–7 reports daily)
* Monitor employee attendance, performance, productivity, and compliance with company procedures
* Report operational issues, delays, staff concerns, and workshop updates directly to management
* Manage vendor coordination, quotations, purchases, procurement follow-up, and stock tracking
* Prepare customer estimates, invoices, receipts, and administrative documentation accurately
* Ensure all records, files, and workshop documentation are maintained properly
* Operate and manage systems such as Zoho CRM and related administrative platforms
* Support management with operational planning, reporting, and business coordination
* Ensure customer information and company data are handled confidentially and professionally
* Follow company policies, operational procedures, and compliance standards at all times
Required Skills & Qualifications
* Strong punctuality, responsibility, and professional attitude
* Previous experience in the service industry is mandatory
* Previous experience in garage, automotive workshop, or shop operations is preferred
* Good knowledge of municipality rules, approvals, and inspection procedures in UAE
* Strong communication and coordination skills
* Excellent knowledge of Microsoft Excel and reporting systems
* Must know Excel formulas including:
* VLOOKUP
* HLOOKUP
* IF Statements
* SUM / SUMIF
* COUNT / COUNTIF
* Pivot Tables
* Conditional Formatting
* Data Filtering & Sorting
* Basic Financial Reporting Functions
* Experience using Zoho CRM or similar systems
* Ability to work under pressure and handle multiple tasks efficiently
* Strong attention to detail and accuracy in reporting and documentation
* Good understanding of procurement, vendor management, and workshop administration
Preferred Candidate
* Filipino nationality preferred
* Experience in automotive workshops or service centers
* Strong leadership and staff supervision skills
* Problem-solving mindset with ability to take ownership and responsibility
* Organized, careful, proactive, and able to follow up independently
