Job Details
The Data Entry Clerk enters, updates, and verifies information in company systems and databases, ensuring records are accurate, complete, and delivered on schedule. The role is central to data quality — everything downstream, from reporting to billing, depends on it being right the first time.
Key Responsibilities
Data entry and processing
• Enter data from source documents — forms, invoices, surveys, records, correspondence — into databases, spreadsheets, and internal systems
• Transcribe information from physical, scanned, or digital sources accurately and at agreed throughput
• Update and maintain existing records; process additions, changes, and deletions
• Meet daily and weekly targets for volume and accuracy
Verification and quality control
• Review entries for errors, omissions, duplicates, and inconsistencies before submission
• Cross-check data against source documents and flag discrepancies to the supervisor
• Correct records identified through audits or downstream queries
• Follow established data standards, formats, and naming conventions
Records and filing
• Scan, index, and file source documents in physical and electronic filing systems
• Retrieve records on request for colleagues, auditors, or clients
• Archive and purge records per the retention policy
Administrative and reporting
• Compile routine reports and data extracts as requested
• Log completed batches and maintain productivity records
• Report system issues, unclear source documents, or process bottlenecks
• Maintain confidentiality and comply with data protection requirements [GDPR / local data privacy law]
Qualifications
Required
• High school diploma or equivalent
• Fast, accurate typing — [40+] wpm with [98%+] accuracy
• Proficiency in Microsoft Excel and Word; comfort learning new database systems
• Strong attention to detail and the concentration to sustain it over long stretches
• Ability to follow procedures precisely and work independently
