Job Details
The Document Controller manages the flow, storage, and integrity of project and company documentation. The role ensures that every drawing, specification, procedure, and correspondence item is correctly numbered, revision-controlled, distributed to the right people, and retrievable on demand — supporting compliance, audit readiness, and project delivery.
Key Responsibilities
Document management
• Receive, register, number, and file incoming and outgoing documents per the project numbering convention
• Maintain revision control; ensure only current versions are in circulation and superseded copies are archived or withdrawn
• Manage the EDMS (e.g., Aconex, ProjectWise, SharePoint, Documentum, Procore) — uploads, metadata, permissions, and workspace structure
• Maintain master document registers, transmittal logs, and drawing schedules
Distribution and workflow
• Issue transmittals to internal teams, clients, contractors, consultants, and vendors
• Track review cycles, comment sheets, and approval status; chase overdue responses
• Manage RFIs, technical queries, submittals, and change documentation through their workflows
• Prepare and issue document status reports to the project team
Quality and compliance
• Check documents for correct format, title block, revision, and required approvals before release
• Enforce document control procedures and train project staff on their use
• Support internal and external audits by producing records and traceability evidence
• Maintain confidentiality and apply access controls to restricted material
Close-out and archiving
• Compile as-built documentation, O&M manuals, and handover dossiers
• Archive project records per retention policy and hand over to the client or records management
Qualifications
Required
• [Diploma or Bachelor's degree] in business administration, engineering, information management, or a related field — or equivalent experience
• [2–4] years in document control, records management, or project administration
• Advanced Microsoft Office skills, particularly Excel; strong PDF handling
• Meticulous attention to detail and disciplined record-keeping
• Clear written communication and the ability to chase people politely but persistently
