Key Responsibilities
1. Document Management
- Receive, register, organize, and maintain project documents.
- Maintain electronic and hard-copy filing systems.
- Ensure documents are stored according to company and project procedures.
2. Document Control System
- Maintain document registers and logs.
- Assign document numbers, revisions, and status.
- Track submissions, approvals, revisions, and superseded documents.
3. Drawings & Technical Documents
- Control construction drawings, shop drawings, IFC drawings, specifications, method statements, and technical documents.
- Ensure the latest approved revisions are available to site teams.
- Prevent outdated or superseded drawings from being used.
4. Submittals & Transmittals
- Prepare and issue document transmittals.
- Submit documents to the consultant/client for review and approval.
- Track outstanding and overdue submissions.
5. Document Distribution
- Distribute approved drawings and documents to relevant departments, engineers, subcontractors, and site personnel.
- Maintain document distribution records.
Revision Control
- Monitor document revisions and maintain revision histories.
- Ensure revised documents replace previous versions correctly.
- Record approval/rejection status and comments.
6. Correspondence Control
- Maintain records of incoming and outgoing correspondence.
- Track letters, emails, RFIs, technical queries, site instructions, and project communications.
7. Quality & Compliance
- Check documents for correct numbering, revision, dates, signatures, and required information.
- Follow project document control procedures and quality requirements.
8. Coordination
- Coordinate with project managers, engineers, QA/QC, consultants, clients, subcontractors, and site teams.
- Follow up on pending approvals and responses.
9. Project Closeout
- Compile and organize as-built drawings, O&M manuals, test records, warranties, and other handover documents.
- Prepare and maintain the final project document archive.
Experience :
- Degree/Diploma in Civil Engineering, Construction Management, or a related field preferred.
- Minimum 4 years of experience in the construction industry.
- Good knowledge of construction drawings and document control procedures.
- AutoCAD knowledge is required.
- Experience with document management systems and MS Office.
- Strong understanding of drawing revisions, transmittals, submissions, and approvals.
