Job Details
This is a management role focused on technical processes related to the vehicle fleet: vehicle condition, inspections, damages, repairs, maintenance, insurance cases, GPS monitoring, vehicle statuses, and coordination with other departments on these matters.
We are looking for someone who can build processes, form and manage a team, organize regular operations, work with data, and develop internal systems together with IT and other departments.
The main objective is to organize the work of the fleet technical service so that processes related to the vehicle fleet, vehicle condition, damages, repairs, insurance cases, customer technical incidents, and other tasks within the area of responsibility are clear, repeatable, and manageable.
The key goal of the role is to build a system that helps prevent operational losses: missed damages, overdue repairs, delayed maintenance, incorrect vehicle statuses, unmanaged technical incidents, and misalignment between departments.
Main Areas of Responsibility:
1. Organizing fleet technical service processes
Building processes related to vehicle condition, readiness, and statuses.
- Organizing vehicle inspection processes after rentals and preparing vehicles for the next stage of work.
- Organizing decision-making rules for vehicle status, including temporary removal from rental when necessary.
- Organizing processes related to damages, repairs, maintenance, insurance cases, and other technical fleet tasks.
- Organizing preventive control of mileage, scheduled maintenance, warranty limits, registrations, and insurance.
- Organizing the process of putting vehicles into operation and transferring relevant data to other departments.
- Developing and implementing regulations, checklists, instructions, escalation rules, and KPIs.
- Creating a transparent system for managing tasks, statuses, responsible people, and deadlines.
2. Managing the fleet technical service team
Forming the department structure and distributing areas of responsibility within the team.
- Hiring employees: participating in recruitment, interviews, candidate evaluation, and hiring decisions.
- Training employees, assigning tasks, and implementing work standards.
- Developing a system of motivation, KPIs, accountability, and regular reporting.
- Evaluating employee performance and making management decisions regarding the team structure.
- Creating operational discipline where processes are performed systematically, not manually or “from memory”.
3. Developing processes together with IT, customer service, and other departments
- Working together with the IT team to develop the internal CRM and automate processes within the fleet technical service area.
- Designing process business logic: statuses, roles, notifications, required fields, reports, approval stages, and escalation rules.
- Working with customer service on processes related to customer technical requests during rentals, technical incidents, vehicle replacements, and disputed situations.
- Jointly developing the logic for handling customer technical requests during rentals, including situation diagnostics, vehicle replacement rules, result recording, and escalation.
- Participating in the development of cross-functional processes between fleet technical service, customer service, operations, accounting, IT, contractors, and management.
- Identifying bottlenecks in current processes and preparing proposals for improvement.
4. Analytics and reporting
Organizing regular reporting on vehicles, technical tasks, repairs, downtime, and team performance.
- Working with Excel / Google Sheets / CRM to analyze data and make management decisions.
- Identifying recurring problems, reasons for delays, and inefficient actions.
- Preparing proposals for process changes based on data.
- Developing a system of key performance indicators for the fleet technical service.
5. Working with contractors and external process participants
- Organizing processes for working with service centers, suppliers, insurance companies, GPS providers, towing companies, and other contractors.
- Organizing processes related to GPS monitoring, technical alerts, notifications, and actions in non-standard situations.
- Building rules for communication, deadlines, responsibility, and contractor quality control.
- Organizing the process of approvals, information transfer, and task closure with external performers.
- Creating a clear history for significant cases: task, responsible person, status, deadlines, and result.

- Confident skills in Excel / Google Sheets and basic analytics.
- Experience working with CRM, ERP, task trackers, or other internal systems.
- Ability to formulate business requirements for the IT team.
- Systematic thinking: the ability to break down a complex task into processes, roles, statuses, reports, and rules.
- English at a level sufficient for business communication in Dubai.
- Higher education is required.
- Technical education will be an advantage.
- Russian language skills will be an advantage.
- Experience in automotive, fleet management, car rental, logistics, service operations, workshop management, or related areas will be an advantage.
