1. Job Purpose
To provide administrative and operational support to the Logistics and Operations Department, ensuring the smooth coordination of transportation activities, shipment documentation, vehicle movements, and deliveries. The Logistics Assistant will assist in maintaining accurate records, coordinating with drivers, customers, suppliers, and internal departments, and ensuring timely execution of logistics operations.
2. Key Responsibilities
A. Transport & Operations Coordination
Assist in coordinating daily truck and vehicle movements.
Follow up with drivers regarding loading, transit, and delivery schedules.
Monitor vehicle movements and ensure timely updates on delivery status.
Coordinate with the workshop team to ensure vehicle availability and readiness.
Assist in allocating vehicles according to operational requirements.
Follow up on delays, breakdowns, and other operational issues.
Maintain proper records of truck allocation, trips, and deliveries.
B. Documentation & Reporting
Prepare and maintain delivery notes, trip sheets, loading reports, and other transport-related documents.
Maintain records of container and wagon movements.
Verify shipment details, quantities, and delivery information.
Prepare daily operational reports and update tracking sheets.
Maintain proper filing of transport and logistics documents.
Assist in preparing invoices and supporting documents for billing purposes.
Cost Control & Administration
Assist in maintaining records of fuel consumption, vehicle expenses, and operational costs.
Monitor and report unnecessary delays, waiting charges, and demurrage.
Maintain records of toll charges, parking fees, and other transport-related expenses.
Assist in preparing operational cost reports.
Ensure all supporting documents for expenses are properly maintained.
E. Communication & Coordination
Maintain effective communication with drivers, customers, suppliers, and internal departments.
Coordinate with the workshop, procurement, accounts, and operations teams.
Escalate operational issues to the Logistics Coordinator or Operations Manager.
Ensure timely communication of important operational updates.
3. Qualifications & Requirements
Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
1–2 years of experience in logistics, transportation, or operations (preferred).
Basic knowledge of transport and logistics operations.
Good knowledge of Microsoft Excel, Word, and Outlook.
Good communication and coordination skills.
Ability to maintain accurate records and handle multiple tasks.
Good organizational and time-management skills.
Ability to work under pressure and meet operational deadlines.

Timely collection and submission of delivery documents.
Proper documentation and reporting of operational expenses.
Minimization of delays through effective coordination.
Timely communication and escalation of operational issues.
