Engagement: Freelance / Contract
Reports to: Operations Manager
Location: Dubai, UAE (Office and remote, with field travel as needed)
Rate: up to AED 5,000 based on experience
Hours / Availability: Full-time
Purpose
Be the first point of contact for clients and the link between customers and the technical team. Manage enquiries, scheduling, billing, and communications while carrying out site inspections when technicians are unavailable, helping secure new jobs and ongoing maintenance contracts.
Key Responsibilities
• Own all inbound enquiries across WhatsApp, phone, and email, responding promptly and converting enquiries into booked jobs.
• Manage client and technician communications, ensuring both sides are aligned throughout each job.
• Build and manage the technician calendar, including booking, scheduling, and rescheduling jobs and inspections.
• When technicians are busy, visit client properties to carry out basic inspections, take measurements and photographs, assess maintenance requirements, and confirm that a written quote will follow.
• Coordinate with technicians to ensure jobs are properly scoped before dispatch.
• Prepare and issue quotes with technical input, raise invoices, and follow up on outstanding quotes and payments.
• Maintain accurate job, customer, and billing records.
Requirements
• Valid UAE driving licence and own vehicle (essential).
• Eligible to work in the UAE on a freelance basis (own freelance permit or residence that allows it).
• Proven coordination, dispatch, administration, or customer service experience, ideally in maintenance, facilities, or property services.
• Fluent English, both written and spoken (essential). Arabic, Hindi, Urdu, or Tagalog is an advantage.
• Technical aptitude and the ability to understand maintenance scopes, take measurements, and document inspections accurately.
• Competent with WhatsApp Business, scheduling tools, and basic invoicing systems.
• Highly organised, proactive, reliable, and comfortable in a client-facing role.
• Handyman, technician, or general maintenance experience is a strong advantage.
Important Note
This is not a traditional back-office administration role. The successful candidate will manage customer enquiries and scheduling, coordinate technicians and client appointments, and regularly attend client properties to conduct basic inspections and help secure maintenance work for the company.
