Job Description

This position is responsible for performing secretarial and administrative support activities of a complex and sensitive nature, as well as functioning as a liaison for departments within CCAD and outside organizations and individuals.

 Creating Medical Reports/Patient Letter/Referrals to send back to external physicians and entities

 Creating IPC Reports and facilitating appointments and communication between IPC and the patients

 Preparing physician schedules across departments/institutes and updating accordingly in Amion (scheduling software), Outlook and Epic

 Build and adjust Epic templates as required

 Viewing and verifying patient past/future/admission/surgery/clinic appointments and schedules

 Preparing Sick Notes and letters for patients to be sent to HAAD and following up on status and denials

 Following up on waitlist patients & arranging appointments with Patient Access

 Coordinating GPS/IPC/VIP appointments across specialties

 View and track inpatient activity through inpatient lists including admissions and consultation activity

 Coordinate patient rescheduling with the help of Contact Center and Patient access when individual physicians schedules are change

 Coordinating Surgeries and Procedures between the clinics and Operating room

 Coordinating physician uniform delivery post laundry services

 Order supplies and disposables through Lawson as required

 Coordinates procurement process of new equipment, replacements, and upgrades

 Coordinate onboarding schedules and IT/office setup of new physicians

 Submit time away, expenses and travel arrangements for CME and business trips

 Coordinates appropriate approvals and document management of policies and procedures for the institute

 Produces correspondence, manuscripts, notes, summaries, meeting minutes and other material from a variety of sources

 Develops and maintains departmental files, documents, data files and confidential information

 Answers incoming patient and external physician telephone calls and refers to appropriate department or caregiver for follow up

 Inputs, runs, gathers and summarizes data from organizational and institute specific databases as assigned

 Coordinates special functions and/or programs as assigned, including special studies, surveys, publications, etc.

 Serves as a liaison between departments and others within and/or external to the Medical department and CCAD

 Other duties as assigned by their Physicians, Administrator and Clinical Operations team

 Monitors accounts and budgets and researches policies and procedures

 Responds to requests for information concerning office and organizational procedures, programs and other activities/functions

 Coordinates institutes social functions and offsite meetings

 Coordinates institutes tasks amongst department secretaries

Skills

 Minimum of three (3) years experience as a senior medical secretary in a health care environment is required

 Experience with word processing software is required (minimum of 40 words-per-minute)

 Understanding of medical terminology

 Ability to use office automated software

 Strong organizational and project management skills to coordinate multiple activities

 Excellent interpersonal skills

 Strong oral and written communication skills

 Ability to speak and write in English is required

 Ability to speak and write in both English and Arabic is preferred

 Health care industry experience is preferred
