Key tasks

GUEST EXPERIENCE / CUSTOMER SERVICE
*To closely assist the Front Office Manager in all operational and administrative matters and in the absence of the Front Office Manager to assume full responsibility for entire Front Office operations.
*To accommodate and satisfy the requirements of all the hotel guests.
*To coordinate the resources available to ensure the hotels capacities and its standards of services are maintained at the highest possible level.
*To act on behalf of the hotel's senior management when required. Maintain a consistent and / uniform standard of service at all times so as to establish the Pullman Dubai Jumeirah Lakes Towers as the preferred and visible hotel in Dubai, renowned for its friendly, efficient, value-for-money and reliable services.
*Act as a vanguard of guest experience to establish Pullman's image of efficiency, friendliness and reliability, and as such, lay the foundation of customer loyalty and return-guests.

BUSINESS MANAGEMENT
*Establish and maintain excellent product knowledge as well as by all Front Office personnel.
*Examine and approve rebates, paid-outs, adjustments and room discounts, etc. as per hotel's policy.
*Look for new and more efficient ways to achieve the hotels goals.
*Be conversant with all front office systems and their maintenance.
*Completes the daily log at the end of his/her shift.
*Read arrival and departure reports, VIP lists and Food and Beverage Event Orders to familiarize with the on-going Hotel status and activities.
*Inspect all rooms reserved for VIPs prior to their arrival.
*Correct and report defects on Hotel services brought up by guest's comments.
*Handle all guest complaints tactfully and in person. Follows-up to ensure that every complaint is taken care of to the satisfaction of all parties concerned.
*Record all unusual incidents or complaints for information and reference of the Management.
*Represent the FOM as licensee in the absence of Senior Management.
*To accurately represent and safeguard the hotel's policy and procedures at all times.
*To coordinate and ensure the smooth operations of Front Office operations at all times and as and when necessary, conform as part of the team for the benefit of guest service and satisfaction.
*To carry out regular walks-around of the hotel property to ensure that all operations, even those of other departments, are running smoothly and that staff are maintaining their decorum in respect of all rules and regulations. Customer Satisfaction and Service will be of utmost importance and will transcend departmental boundaries in terms of responsibility.
*Assist the Front Office Manager to establish, maintain and review all administrative policies and operational procedures relating to areas of responsibility.
*Control and monitor occupancy forecasts and keep the Front Office Manager aware of the availability situation in the Hotel when near close-out situation.
*Assist the Front Office Manager to ensure that all operational procedures and report formats are in accordance with polices.
*Assist the Front Office Manager to develop yearly plan for Departmental submission.
*Assist the Front Office Manager to prepare various monthly reports as required by the Hotel.

ASSET MANAGEMENT
*Assist the Front Office Manager to keep a close vigil of lobby and back of house to maintain clean, well-organized and efficient work areas, so that all is in full working condition for the comfort and safety of all staff and guests.
*Ensure that all Front Office associates are aware of the care and maintenance of all departmental fittings and equipment and that the proper treatment and maintaining is done for these.
*Responsible for the tight control and issue of equipment for guest use.

EDUCATION
Bachelor or College degree

EXPERIENCE
Minimum 2 years' experience in Front Office, preferably in a luxury environment
French & Arabic speaker preferred
High level of IT proficiency
Excellent leadership, interpersonal and communication skills
Accountable and resilient
Excellent grooming standards
