Job description:
The Document Controller/Secretary is responsible to manage, organize, and control all project documents, drawings, correspondence, records, and submissions in an efficient, secure, and systematic manner to support smooth project execution in the contracting company.

C. Key Responsibilities.
· Maintain and update all technical documents, drawings, specifications, submittals, RFIs, MOMs, contracts, and project records.
· Ensure version control, proper formatting, naming, and filing of all documents.
Upload, track, and manage documents via internal systems or client platforms and government systems.
· Manage documents in compliance with standards and company procedures.
· Coordinate with project engineers, consultants, subcontractors for document submissions and approvals.
· Ensure all incoming and outgoing documents are properly logged and circulated.
· Follow up on pending approvals, RFIs, material submittals, shop drawings, and correspondence.
· Generate weekly/monthly status reports for submittals, approvals, drawings, and correspondence.
· Support the project team with updated logs, registers, and tracking sheets.
· Assist with meeting minutes, transmittals, and correspondences.
· Manage hard copy filing and digital archiving systems.
