Job Description

We are a Dubai based Real Estate company specializing in residential, commercial and retail properties within the UAE. Our large portfolio of real estate in Dubai offers our discerning clients the opportunity to invest in one of the world's fastest growing real estate markets. Over the years we are proud to be a recognized and respected name within the UAE real estate community.
As part of our continuous growth, we are looking for three (3) CUSTOMER SERVICE REPRESENTATIVES to be assigned individually to three different internal roles as mentioned below:
RECEPTIONIST
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person in the office
Provide basic and accurate information in-person and via phone/email.
Answer incoming calls and perform email correspondence
Ensure reception area is tidy and presentable, with all necessary stationery and material
Receive, sort and distribute daily mail/deliveries
Update calendars and schedule meetings
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Coordinate office activities and operations to secure efficiency and compliance to company policies.
Submit timely reports and prepare presentations/proposals as assigned.
Track stocks of office supplies and place orders when necessary.
Create and update records and databases with personnel, financial or other related data.
GUEST RELATIONS OFFICER
Key One is looking for experienced Guest Relationship Officer who will work in our holiday homes rental department.
Main responsibilities:
To greet and communicate with customers in a professional and courteous manner.
To promote the company at all times with a positive approach.
Dealing effectively and efficiently with customer comments, whilst following company guidelines.
To ensure that you complete the company customer service programme "How loud is your Happy?" and aim to exceed the expectation of the customers
To communicate with other members of your team, both internally and externally in a professional and courteous manner.
To work together with your fellow team members to produce standards of excellence within your department and aiming to exceed customer expectations.
You may at times be required to assist with duties not directly linked to your Job Description but commensurate with your position from time to time. Your co-operation will be appreciated but not abused.
Selling holiday homes to both new and existing customers
Liaising with guests in order to solve problems in a timely and effective way ensuring that all issues are logged, monitored and resolved to the their satisfaction.
Follow instructions for processes for telephoning, brochure mail-out, email contact, call-back and follow up for new enquiries. Updating of the CRM system.
Selling of tour packages to customers and ensuring paperwork is understood by customer and they are assisted correctly.
Cash handling adhering to company procedures.
To work in a safe manner, with due diligence towards yourself, colleagues, customers and general public at all times.
RESERVATION AGENT
The Reservations Sales Agent is responsible for handling reservations, inquiries and cancellations in an attentive, courteous and efficient manner, and quoting available rates to maximize room revenue according to Company standards and target.
Responsibilities:
Answer all incoming calls promptly, in an attentive, courteous and efficient manner.
Answer guest inquiries about hotel services, facilities and hours of operation.
Book room reservations while focusing on maximizing room revenue and average rate using standard rate quoting scenario at all times.
Enter reservations into the computer according to standard operating procedures.
Maintain availability calendar and communicate all relevant information to the operations staff.
Maintain accurate files and reports.
Handle all special reservations, to include V.I.P. reservations, packages and discounts.
Book and block rooms using standards for Group Rooming Lists and Booking Agreements.
Attend and give input on trends and opportunities to maximize revenue.
Complete forecasts as required by management.
Monitor daily sales activity and alert Guest Services Manager of sold out nights, group status and possible problem situations.
Post no-show revenue daily, if required at property.
Be able to perform all duties of Guest Services Agent as needed.
File reservations and group contracts.
Review Reservations logbook and Guest Request log on a daily basis.
Send confirmations.
Process advance deposit/balance sheet.
Process brochure requests.
Forecast packages according to standards.
Research travel agent commissions.

Skills

RECEPTION:

Proven work experience as a Receptionist, Front Office Representative or similar role
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
Previous real estate experience is preferred
Well verse in Microsoft office package
