Department Description:
The IT Governance team is responsible for ensuring the organization processes policies and decision making structures are in place within the IT environment This includes Governance structures for key decision making Program and Portfolio Management Service Level Management including incident management problem management service level agreements and monitoring of these on a regular basis Project Management approach and tools Quality Management Systems Human Resource management Financial Management and cost control and Performance management and tracking
IT Governance team has initiated a program for IT Transformation which will further impact all the above mentioned areas with focus on improving productivity and employee engagement increase quality and reduce turnaround times and increase ability to meet bank requirements for new products and services This initiative utilizes Lean concepts and will bring about changes in organization and roles that need to be managed

Brief Description:
This role is a key within Group IT as it is responsible for setting the communication strategy to ensure critical information and updates are shared in a consistent and standardized manner within the unit and to the wider bank

Detailed Description:
The strong relationship building and communications skills in this role will in turn ensure that the organization is completely on board and engaged in the IT Transformation Therefore it is paramount to ensure continuous communication of change to the working level and ensure creative formats are used in order to facilitate all these changes The job holder will be required to be involved in understanding defining and implementing the process changes as part of the IT Transformation

This role will also direct the online platform initiatives to provide a single tool for communication and collaboration for all employees of Group IT

This role will Chair the Social Committee to run various social and team building initiatives to enable the transformation of process people and culture and boost employee engagement to work as one team. In addition this role is responsible for organizing all events hosted internally and externally by Group IT

The role will include project management for current state assessment data artifacts trends demands processes organization deliverables and documentation as well as designing new target state processes systems behavior changes and org structure and subsequent implementation and monitoring of the same

The role will also be responsible for preparing and facilitating senior management communication both in written and oral form as well as prepare and organize meetings events eg town halls discussions speeches portals and all other digital channels etc Ensuring that there is a proactive approach whereby meetings and session are set up to identify potential needs for communication within the organization and bring them to senior management attention

Job Requirements:

Conduct the annual SWOT Gap Analysis across the unit which would then translate into the annual communications budget and plan
Create Internal Focus Groups and Intelligible debates
Create and implement Online Portals to enhance consistent communication of key events success stories competitions video streaming and improve collaboration between staff
Work with vendors to put in place visual aids
External parties to develop alliances with industry leaders to build inhouse competencies
Marketing Material and Press release to be prepared for projects as per project marketing requirements
Conduct Town halls Speakers Corner and Meet the CIO sessions to ensure that staff has direct and open form of communication with CIO and senior management
Actively engage with employees to boost high performance of employees from transformation
Work with external parties to manage events hosted by Group IT
Responsible for ensuring the Social Calendar is executed by Group IT Social Committee Members
Conduct Surveys to ensure that activities being conducted are of Value Add in the eyes of the employees
Plan and Manage all events hosted by Group IT
Contribute to the achievement of a flow of improvements to processes and procedures in order to enhance productivity operating efficiencies and cost effectiveness
Suggest process improvements and contribute for process reengineering based on analysis of data gathered from staff feedback
Plan drive and roll out Group IT Innovation Program
Engage employees to participate in coming up with Innovative Ideas
Assist the Innovation project with marketing material and innovation portal updates
