Gulf Worldwide Distribution FZE (GWD) is a leading distributor in the Japanese and European automotive aftermarket, operating across the UAE, GCC, Middle East, and Africa. We are looking for an experienced Procurement Executive from the automotive spare parts industry to manage end-to-end procurement activities. The role will be responsible for strategic sourcing, vendor management, cost optimization, inventory planning, and ensuring uninterrupted supply of automotive spare parts while maintaining quality, timelines, and compliance.

Key Responsibilities
Purchase Operations
• Generate system-driven order quantities and place accurate orders with principals and suppliers.
• Ensure optimal stock availability and timely replenishment of spare parts.
• Monitor ordering cycles and coordinate timely placement of orders.
• Follow up with suppliers and logistics teams for shipment and delivery status.
• Coordinate urgent and cost-effective shipments when required.
• Handle supplier correspondence, inquiries, quotations, and documentation.
• Maintain proper procurement records and order tracking.
• Review inventory levels and identify slow-moving and non-moving items.
• Coordinate with the pricing team for parts pricing updates and system maintenance.
• Support sales and warehouse teams in identifying parts requirements.
• Plan and arrange parts orders for new vehicle models and launches.
• Identify vehicle-specific parts through EPC, VIN numbers, chassis numbers, and online catalogs.
Procurement Management
• Procure automotive spare parts including OEM and aftermarket products.
• Source and evaluate local and international suppliers.
• Obtain quotations and compare pricing, quality, and delivery timelines.
• Negotiate pricing, payment terms, delivery schedules, and commercial terms with suppliers.
• Coordinate with suppliers to ensure uninterrupted supply of parts.
• Ensure procurement activities align with demand planning and operational requirements.
• Maintain procurement policies, supplier databases, and documentation.
• Monitor supplier performance related to quality, delivery, and pricing.
• Assist in identifying cost-saving opportunities and operational improvements.
• Ensure procurement processes comply with company policies and procedures.
Coordination & Relationship Management
• Build and maintain good relationships with suppliers and internal departments.
• Coordinate with Sales, Warehouse, Logistics, Finance, and Operations teams.
• Communicate supply issues, market trends, and procurement updates to management.
• Support management in procurement planning and supplier coordination.
• Assist in resolving supplier or delivery-related issues.
Reporting & Administration
• Prepare procurement reports, purchase summaries, and stock analysis reports.
• Maintain accurate procurement and inventory records in ERP systems.
• Monitor procurement KPIs and supplier performance records.
• Ensure all procurement documentation is properly filed and updated.
Qualifications & Experience
• Minimum 3 years of experience in procurement/purchasing within the automotive spare parts industry.
• Strong exposure to OEM, aftermarket parts, and international sourcing.
Skills & Competencies
• Strong vendor management and negotiation skills.
• In-depth knowledge of automotive spare parts and inventory management.
• Proficiency in ERP systems, MS Excel, and procurement tools.
• Excellent communication skills
Education
• Bachelor’s degree in supply chain, Procurement, Engineering, Business Administration, or a related field.
• Professional certifications in procurement or supply chain are an added advantage.
